- Travel Authorizations provide assurance that the trip and
absence from assigned work area have been approved. It also provides
necessary authorization for reimbursement and legal evidence that the
employee is on university business. In the event an employee is injured
or killed, such evidence is very important in settling claims for
Worker’s Compensation or travel insurance.
- To initiate an out-of-state travel request, a staff member
must fill out an official University Travel Authorization form. Forms
are sent to the Regional Director/Unit Administrator 30 days
before the date of departure. If approved, confirmation will be sent
back to the staff member by the Regional Director/Unit Administrator
that the authorization has been approved.
- The
Out-of-State Travel Authorization Approval Process (in Adobe
Acrobat format) summarizes the signatures required. It is designed to
assure that both the local MSU Extension administrative unit as well as
the funding source both approve the time and reimbursement cost
associated with the request.
- Exception: MSU Extension has a long-standing practice that
staff members located in the county bordering another state do not need
authorization if they travel only in the counties bordering their
assigned Michigan county/area. Always keep the home office informed of
such travel. If a trip is being organized by a department or specialist
at Michigan State University and field staff are requested to attend,
the above procedures must still be followed by individual educators.
